Email Sync controls help you keep internal or sensitive correspondence out of Stardex. Admins can set two rules in Settings → Organization → Compliance → Email Sync: stardex.com/settings?tab=organization&section=compliance
  • Internal domains tell Stardex which domains belong to your team, so emails only between your team are skipped.
  • Blocked emails and domains keep any email that involves a listed address or domain out of Stardex completely.
These rules apply to emails from connected mailboxes: new emails as they arrive, past emails you bring in with Import past emails, and replies in campaign threads. They do not delete emails already in Stardex, and they do not affect emails you send from Stardex Blocking domains and email addresses from syncing — screenshot 1

Internal domains

When Sync internal emails is off (the default), Stardex skips emails where everyone on them is on your team. Your team means everyone with a Stardex seat, the mailboxes they connected, and anyone at one of your internal domains. For example, if yourcompany.com is an internal domain:

Add an internal domain

  1. Go to Settings → Organization → Compliance → Email Sync.
  2. Under Internal domains, enter a domain, such as yourcompany.com.
  3. Click Add domain.
  4. Confirm the change.
The confirmation shows how many people in your database have an email at that domain. Subdomains are included automatically, so yourcompany.com also covers eu.yourcompany.com. When a teammate connects a work mailbox, Stardex adds its domain for you. These show From a connected mailbox.
Personal email providers such as gmail.com cannot be added as internal domains.

Your team’s own domains are locked

A domain shows a lock when someone on your team signs in to Stardex or has a connected mailbox at that domain. It cannot be removed or blocked, so colleagues without a Stardex seat never look like outside contacts.

Turn on internal email sync

Turn on Sync internal emails if you want emails between your team to sync as normal. Blocked emails and domains still apply when it is on.

Blocked emails and domains

Use this list when email with a person or a whole company must never be stored in Stardex, even if other people are on it. Stardex checks the sender, recipients, CC, and BCC.
  • An email address, such as partner@pefund.com, blocks only that exact address, whatever the capitalization.
  • A domain, such as pefund.com, blocks everyone at that domain and its subdomains.
For example, with pefund.com blocked, an email to ceo@client.com with partner@pefund.com in CC is not stored anywhere, including the client’s profile.

Block a domain or email address

  1. Go to Settings → Organization → Compliance → Email Sync.
  2. Under Blocked emails and domains, enter a domain or a full email address.
  3. Click Block. For a domain, confirm with Block domain.
If the domain is one of your internal domains, blocking it moves it off Internal domains. You cannot block your team’s own domain or a personal provider such as gmail.com. Block the specific address instead.

What happens when an email is blocked?

Stardex skips:
  • The email content and details
  • Email activities on person records
  • Attachments on that email
  • Reply classification
For campaign replies, Stardex still stops the person’s campaign enrollment so no more automated emails go out, even if Stop on Response is off. It does not save or classify the reply.
Blocking covers email only. Calendar events, meeting recordings, and notes from Granola or Fireflies are not checked against this list.

Remove a rule

Admins can remove an internal domain or unblock an entry from the same page: click the remove button next to it and confirm. This affects future emails only. Skipped emails are not added back automatically. Running Import past emails on a mailbox afterwards brings in past emails for people at the unblocked domain or address, but not emails that were kept off other people’s profiles.
Changes can take up to one minute to apply.

FAQ

Does blocking remove emails that are already in Stardex?

No. It only affects emails that arrive after you add the entry. Emails already on people’s profiles stay.

Do campaigns still send to blocked people?

Yes. Emails you send from Stardex are not affected. If a blocked person replies, their enrollment stops and the reply is not saved.

Can I still log one email that involves a blocked person?

Yes. Forward it to your team’s Stardex inbox address. Forwarded emails are not checked against the blocked list.

What if a domain is both internal and blocked?

Blocking wins, so the email is not stored. You cannot add a blocked domain as internal, and connecting a mailbox never re-adds a blocked domain.

Why can’t I remove our own domain?

Because your team uses it to sign in or send email. The lock goes away once nobody on the team uses that domain for their sign-in or a connected mailbox.
