# Requesting a data backup

> Request a data export and understand its file format, included records, and exclusions.

Your data is easily accessible through our api below. This will give you real time access to all your data.

[Introduction - Stardex Help Docs](https://docs.stardex.com/api-reference/introduction-v1)

However, if you want a csv dump of all your files as a snapshot, we can do that for you. Request your download from the settings, and you will get an email with a link to download. Depending on the size of your database, it might take 60 mins to get the email.

## **Understanding Your Data Export**

Your data will be delivered as a zip file containing multiple folders. This export contains all your data across multiple CSV files, but it's not designed to be human-readable - it's structured for programmatic access or system migration. It's comprehensive but requires technical knowledge to interpret since the data is spread across multiple related tables. Each folder represents a different part of your ATS data, organized for easy navigation:

**Core Data Folders**

* **companies/** - All company information including enriched data from external sources, company documents, and any custom fields you've defined for companies
* **persons/** - Complete candidate and contact information including work history, education, contact details, activity timeline (notes, emails, calls), and any custom fields defined for people
* **jobs/** - Job requisitions with pipeline stages, team member assignments, client contacts, target companies, and custom job fields
* **candidates/** - Links between people and jobs, including their current pipeline stage, status history, and assessments
* **deals/** - Sales opportunities and deals with activities, associated contacts, jobs, and custom deal fields
* **clientContacts/** - Your client contacts with activities, status changes, and custom fields

**Communication & Workflow**

* **sequences/** - Email sequence templates, enrollments, and automation settings showing your outreach campaigns
* **communication/** - Sent emails, responses, and email templates used in your outreach
* **tasks/** - Tasks and action items created in the system
* **lists/** - Any custom lists you've created for organizing candidates or companies

**Reference Data**

* **reference/** - Lookup tables like pipeline stages, job statuses, and activity types that define dropdown options throughout your system

## **File Format**

All files are provided in **CSV format** (comma-separated values), which can be easily opened in Excel, Google Sheets, or any spreadsheet application. Each CSV file represents a table from your database.

## **Important Notes**

**Custom Fields**

Any custom fields you've created (for people, jobs, companies, deals, or client contacts) are included in their respective folders. The export contains three files for each custom field type:

* Field definitions (what fields exist)
* Field values (the actual data)
* Field tags (options for select/multi-select fields)

**Activities & Notes**: Your activity timeline (found in the persons/person\_activities.csv file) includes all notes, emails, calls, and other interactions. Notes are provided in plain text format for easy readability, even if they were originally created with rich text formatting.

**Relationships**: Some data references other data through IDs. For example, a candidate record will include a person\_id (linking to a person) and a job\_id (linking to a job). These IDs allow you to connect related information across different files.

## **Data Not Included**

For security and privacy reasons, the following are excluded from exports:

* User authentication credentials and settings
* Email connection credentials (Nylas/Gmail/Outlook)
* System audit logs
* File attachments (resumes, documents)
